Time Clock Setup

 

 

 

 

SETUP

Time Clock Setup window is used to setup the Time Clock.  

Hide Alpha Keys (only show numbers)

When this is checked, only numbers will be shown on the Time Clock.  Letter keys will not be displayed.  The front page of this manual displays a number only Time Clock setup.  To use this method, you must use numbers for the Time Clock ID and passwords. 

Show Close Button

When this is checked, a close button will be shown on the Time Clock.  Do not show the close button if you do not want employees to easily close the Time Clock.  If you do not show the close button, you will need to use the Master User Entry to close the Time Clock. 

Enable Password Entry

When this is checked, the employee will have to enter a password to clock in/out. Disabling Passwords allows for quicker, more efficient clocking in and out because it reduces the number of steps.  When using magnetic cards for a one step clock in/out, passwords should be disabled.  If the Password function is disabled, then each employee’s Time Clock ID should be unknown to other employees. 

Enable Pay Code Entry

When this is checked, the employee will be required to select a pay code.  Disabling Pay Code Entry allows for quicker, more efficient clocking in and out, because it reduces the number of steps.  When using magnetic cards for a one step clock in/out, Pay Code Entry should be disabled.  When Pay Code Entry is disabled, the Pay Code in Employee Setup will be used as the default. 

Show Pay Code Change Button

When this is checked, a Change button will be displayed on the Time Clock.  This will allow an employee to change pay codes when they change the type of work or pay during the day.  This can also be used to track lunch and breaks when pay codes have been created for them. 

Use Day 1 Date for Day 2 Time

When this is checked, a shift that crosses over to a second day will use the first day as the second day transaction date.  If it is not checked both dates will be used.

 Count Vacation Hr for Over Time

When this is checked, vacation worked in the morning followed by actual working hours will be used in calculating over time.

 Decrease Regular Hr when Adding OT instead of Adding Negative Hours

When this is not checked, regular time will be decreased with a negative entry and over time will be increased with a positive entry.  This should be checked when using Project/Job software. 

Show Logbook Button

When this is checked, the Logbook button will be shown on the Time Clock and it will ask if you want it displayed for all employees.  This choice can be made on an individual employee basis in Employee Setup using the Log Check Box.

 Show Calendar Button

When this is checked, the Calendar button will be shown on the Time Clock and it will ask if you want it displayed for all employees.  This choice can be made on an individual employee basis in Employee Setup using the Cal Check Box.

 Show Print Button

When this is checked, the Print button will be shown on the Time Clock and it will ask if you want it displayed for all employees.  This choice can be made on an individual employee basis in Employee Setup using the Print Check Box.

Show Scheduled Hour on Calendar

When it is not checked, the Logbook will be displayed by clicking anywhere in the day.  When this is checked, the Employee Schedule can be viewed by clicking on the top half of a day in the Calendar.  When clicking on the bottom half of the day, the Logbook can be viewed.  It will ask if you want this for all employees.  The choice can be made on an individual employee basis in Employee Setup using the Scheduled Check Box. 

Automatically Push Clock In/Out Button

The Clock In and Clock Out button can be “touched” automatically.  This prevents the employee from having to touch them.  Automatically pushing the buttons allows for quicker, more efficient clocking in and out, because it reduces the number of steps. There are three options to choose: 1) Checking “Always” will automatically push the buttons for all methods of entry. 2) Checking “Only for Mag Card or Bar Code” will automatically push the buttons only for the magnetic card reader or the bar code scanner. When using magnetic cards for a one step clock in/out, this option should be checked.  3) Checking “Never” will require the employee to touch or click the push buttons. 

Enable Job/Project Entry

This should be checked if Project Accounting or Job Costing software is used.  After checking this you must select the software being used.  This will add steps to clocking into projects/jobs. 

Use SQL Server Time

When this is checked, the Microsoft SQL Server time will be used for clocking in/out.  This check box will be disabled if SQL server is not being used.  The line

                                                Time=ComputerName

can be added in the Dex.ini file to specify a computer to use for the time.  Substitute the actual computer name in the above command.   

Require Mag Swipe Card Reader to be Used

When this is checked, a magnetic card must be swiped.  You will not be allowed to use the touch screen, a keyboard, a mouse or a bar code scanner.  If you do not use the magnetic card swipe you will be given an error message.  MAG-TEK's Mini Wedge Reader Part #21080205 works very well with the Time Matrix Time Clock.  For information call (972) 422-6387.  Installing a card reader is very simple.  (1) Unplug the keyboard from the computer.  (2) Plug the keyboard into the magnetic card reader.  (3) Plug the magnetic card reader into the computer in the exact same place you unplugged the keyboard.  You do not need software drivers, so do not install them.  The Time Clock ID will be encoded on track 2.  A semicolon will precede the number and a question mark will follow the number.  An example of the number is ;1002?  Time Matrix reads the semicolon and the question mark.  The semicolon tells the Time Matrix Time Clock that the ID is entered from a magnetic card reader instead of from the touch screen, a keyboard or a bar code scanner.  The question mark tells the Time Clock that it has encountered the last character.

Require Bar Code Scanner to be Used

When this is checked, a bar code scanner must be used.  You will not be allowed to use the touch screen, a keyboard, a mouse or a magnetic card swipe.  If you do not use the bar code scanner you will be given an error message.  Time Matrix is compatible with Worth Data’s LZ100-WDP and LZ200-WDP Integrated Laser ScannersIts longer scanning distance and longer warranty make the LZ200-WDP perfect for a rugged, industrial setting.  The LZ100-WDP is priced at $634 and the LZ200-WDP is $770.  Both of them need a Y cable part # F30-1 that costs $25.  A metal stand part # S20 is available for $69.  Installation is very simple.  (1) Unplug the keyboard from the computer.  (2) Plug the keyboard into the bar code.  (3) Plug the bar code scanner into the computer in the exact same place you unplugged the keyboard. 

Click Time Matrix Users to bring up the user setup. 

Click Employees to bring up the employee setup. 

Click Employee Rules to bring up the employee rules setup. 

Click Employee Reports To to bring up who the reports to setup. 

Click Demographic Field to bring up the demographic fields setup. 

Click Drop Down Setup to bring up the demographic dropdown setup. 

Click Pay Codes to bring up the pay codes setup. 

Click Pay Codes- Employee to bring up employee pay code setup. 

Click Pay Periods to bring up the pay period setup.
